Asset Inventory Reporting

Asset inventory reporting gives our clients an asset-based picture of their estate or buildings and is informed by industry-leading standards and our data-driven expertise. This data-led approach can support our clients’ asset management plans as well as their risk management with defensible inventory data.

Using a range of asset attributes (type, demographic, location, age, condition, remaining life, etc.), our detailed asset inventories enable clients to optimise their spend across their entire estate and make informed asset-based decisions. This approach is delivered as standard to clients utilising our asset management capabilities, including those across the education, police, local authorities,government, rail and retail sectors.

Capture & Condition Assessments

VINCI Facilities’ Asset Inspector is a multi-project, multi-site, asset verification, audit and data collection tool specifically configured to help clients gain more control of their assets and therefore maximise returns on operational and capital investments.

Asset Inspector is a VINCI Facilities customised application available on Android or IOS devices. By standardising asset hierarchies and linking industry-leading standards (e.g., Uniformat II, Uniclass, NRM-3, CIBSE-M Condition & Life, SFG20, and IAM), we collect asset data faster, more efficiently and with increased levels of consistency and quality.

We provide all stakeholders with an efficient collection process and a defensible quality output enabling reliable asset data insights. This approach is delivered as standard to clients utilising our asset management capabilities, including those across the education, police, local authorities, government, rail and retail sectors.

Asset Hierarchy

Asset hierarchy is a framework for segmenting an asset base into appropriate classifications. The asset hierarchy can be based on asset function, asset type, or a combination of the two. Assets are linked to matrixed industry-leading standards and classifications to enable faster, more efficient collection, verification, and reporting.

This enables clients to compare and contrast their asset data across floors, buildings, or estates using a common data structure. VINCI Facilities can take existing data, analyse and apply this to an agreed asset hierarchy giving instant asset insights and consolidated reporting via our web-based portal. This approach is delivered as standard to clients utilising our asset management capabilities, including those across the education, police, local authorities, government, rail and retail sectors.

Standards to ISO 55000

VINCI Facilities is a corporate member of the Institute of Asset Management (IAM). This has helped us align our solutions to the latest legislation and best practice ISO 55000, 1, 2, 3 referred to as an ‘Asset Management System’ throughout the three standards.

VINCI Facilities’ IAM certified Asset Managers have aligned our systems to support ISO 55000 principles, enabling us to help organisations achieve their objectives through the effective and efficient management of their assets. The application of asset management thinking and systems provides assurance that objectives can be achieved consistently and sustainably over time and to the highest standard.

BIM & Digital Twins

Collaborative production of architectural, engineering, and construction information shared between asset management and BIM is key to supporting and achieving Level 2 BIM Code of Practice. Our data is compatible with BIM systems to support Level 2 compliance using a consistent data set and standard hierarchy, which in turn enables clients to realise the potential value of combined asset and BIM data.

Our asset team can 3D scan your facilities and buildings in high definition – integrating building location, asset, and condition data – to enable virtual walk-throughs.

This data-enriched 3D model enables collaborative planning and problem solving between stakeholders. It also offers the efficient coordination and review of complex works programmes, access, and training.

Asset Management Plans

Asset management planning is undertaken by our IAM certified Asset Managers to determine how assets will be managed (e.g., over a specific term or contract period), and to support the achievement of asset management objectives set out in an organisation’s asset management strategy.

This plan supports the changing daily operational needs of a client’s business, helping to support the decision-making process on acquisition, maintenance, operation, refurbishment and/or disposal, ensuring outcomes are measurable, achievable, and in line with client’s strategy and objectives.

Data Mapping & Templates

It is critical on any project to ensure that data can be used in the appropriate systems to generate insights and aid decision-making.

VINCI Facilities uses industrystandard hierarchies (i.e., Uniformat, Uniclass, NRM-3) and deploys streamlined upload templates mapped across multiple asset classifications and maintenance standards (SFG20).

Standard upload templates allow surveyed asset data and maintenance plans to be quickly converted and seamlessly uploaded to CAFM systems, regardless of the sector, software or the asset classifications in use.

Forward Maintenance Register

A Forward Maintenance Register (FMR) is a schedule of equipment showing each item’s life expectancy, replacement cost, and condition. It is used to inform a phased replacement programme.

A FMR can highlight short, medium, and long-term replacement requirements. An asset-driven FMR allows finite capital and maintenance budgets to be focused on the most critical assets tailored to the client’s priorities, legislation, statutory requirements, obsolescence, and condition. This approach is delivered as standard to clients utilising our asset management capabilities, including those across the education, police, local authorities, government, rail and retail sectors.

Condition-based Maintenance

Condition-based Maintenance (CBM) is a maintenance strategy that monitors the actual condition of an asset to decide what maintenance needs to be done. CBM dictates that maintenance should only be performed when certain indicators show signs of decreasing performance or upcoming failure.

We utilise the industry-recognised condition ratings set out in CIBSE Guide M (or the NHS condition for healthcare assets). This enables all our projects to benefit from consistent, condition-based maintenance decisions that align with our clients’ objectives and performance expectations.

The data can be viewed in asset health dashboards and reports that combine metrics across condition, age, utilisation and expected life span.

Criticality-based Maintenance

Criticality-based maintenance introduces a systematic maintenance planning methodology for identifying critical equipment and appropriate preventive maintenance plans, taking into account environmental and process conditions.

We use standard criticality ratings across all projects, applied in a customer and asset-specific manner, which are aligned to the customers’ core business, objectives, and risk management structure. This allows us to develop customer focused, criticality-based PPM plans that optimise finite maintenance resources and mitigate risk.

PPM Plans Aligned to SFG20 and HTM

SFG20 is the essential tool for facilities managers and building owners to stay compliant. SFG20 and HTM (Health Technical Memoranda) give comprehensive advice and guidance on the design, installation and operation of specialised building and engineering technology used in the delivery of the built environment.

By aligning asset data to planned preventive maintenance plans (PPM), these industry-leading standards give guidance to ensure our customers remain compliant and all assets are maintained to the appropriate standards.

All PPM instructions are clearly detailed to provide full traceability and transparent labour loading.

PPM plans aligned to SFG20 and HTM have been implemented across our extensive schools portfolio, East Coast rail franchise, and Clatterbridge Cancer Care in Liverpool.

Compliance-led Maintenance

We plan, organise, and control all our activities to ensure that facilities comply with the latest statutes, laws, and standards.

Compliance and statutory requirements differ across the many sectors in which our clients operate. Therefore, we use the expertise of our integrated asset management engineering compliance team to tailor our asset-based maintenance plans to our clients’ needs and ensure safe, fully compliant buildings.

Data is reviewed by our experienced in-house senior engineering team to identify compliance gaps or potential risks at an asset level. Ongoing compliance audits can then be instigated to ensure standards align with the latest guidance.

Scenario Planning

Scenario planning is a management tool designed to allow organisations to evaluate the efficiency of strategies, tactics, and plans under a range of possible future environments.

Our cloud-based life cycle management tool allows detailed forecasting across a range of scenarios. Using the industry standard Facility Condition Index (FCI), a number of scenarios can be assessed (including specific funding, targeted condition values and a host of other variables) to enable the development of strategic asset management plans based on a fully costed asset base.

These can be presented in dashboard form from the portal or via downloadable reports.

Strategic Asset Management Plans

We convert an organisation’s objectives into a workable asset strategy that delivers on capital investment, maintenance regimes, and asset replacement programmes.

Tactics and decisions are reviewed and suggested improvements fed back into asset management plans, showing tangible improvements in decision-making or programmes of work.

Savings and value are realised by the controlled execution of integrated capital projects and maintenance programmes. This supports the changing operational needs of a business and its customers, ensuring the right decisions are made and that they are measurable, achievable and in line with the company’s strategy and objectives.

Capital Replacement Business Case

This is a detailed tool to support and justify asset replacement, refurbishment, upgrade, or disposal.

A standard asset-based business case form allows the correct information to be consistently presented to clients. It provides them with the defensible information they need to make strategic capital replacement decisions with confidence.

We have created standard templates across our extensive PFI portfolios (i.e., education, local authority, government and health) to support Technical Advisors (TA) and Special Purpose Vehicles (SPV), ensuring they have the correct information to make decisions and reference data on asset performance over time.

Asset-based Whole Life Cost Plans

Detailed life cycle models are loaded into VINCI Facilities’ cloud-based life cycle software planning tool (incorporating BCIS cost books) to enable reporting, forecasting, and scenario planning.

This allows our clients to make informed strategic decisions based on robust asset life condition and age information costed from industryrecognised cost books (BCIS, NRM-3), which compares different funding and replacement scenarios to give cost certainty over specific time periods.

Whole life cost plans are developed and optimised taking into account maintenance, condition, criticality, age and environmental factors specific to any asset type or system. This has been extensively deployed across our PFI portfolio in education, local authority, government and health sectors.

Building Condition Life Cycle Reporting

VINCI Facilities provides detailed consolidated building reports combining asset condition and location data, life cycle information, forward maintenance register, risk register, condition summaries, lowest condition assets and if applicable life cycle fund available vs estimated needs and detailed five-year forecast spend profiles.

We provide customers with a detailed asset condition appraisal, linked to industry-leading standards including SFG20, CIBSE-M, Uniclass, Uniformat, and NRM-3.
